1. Who we are
This Privacy Policy explains how Really Fast Scribe(“we”, “us”, “our”) — the transcription service at reallyfastscribe.com, operated by an individual based in Poland — collects, uses and protects your personal data. For data- protection purposes, we are the data controller. Contact: admin@reallyfastscribe.com.
2. What data we collect
- Account data — when you sign in with Google (via our authentication provider), we receive your email address and basic profile information, and we store a user identifier.
- Your content — the audio/video files you upload and the transcripts generated from them.
- Usage & product analytics — events about how you use the Service (pages viewed, uploads, sign-ups, feature use) and basic technical data (device, browser, approximate location from IP).
- Payment data — if you subscribe to Pro, billing is handled by our payment provider; we receive subscription status, not your full card details.
- Cookies & similar — see Section 6.
3. How we use your data & legal bases
- Provide the Service (accounts, uploading, transcription, storing your transcripts) — legal basis: performance of a contract.
- Process your audio into text, including sending it to our AI transcription provider — contract.
- Product analytics to understand and improve the Service (first-party, no advertising cookies) — legitimate interest.
- Advertising & measurement (Google Analytics / Google Ads) — only with your consent, which you give or refuse via the cookie banner.
- Billing for paid plans — contract; tax/accounting — legal obligation.
- Security, fraud prevention and support — legitimate interest.
4. Your content & AI transcription
Your files and transcripts remain yours. To produce a transcript, your audio is sent to a third-party AI speech-recognition provider (currently AssemblyAI) and processed solely to generate your transcript. We do not sell your content and do not use it to train third-party AI models beyond what is necessary to deliver your transcript. You are responsible for having the right to upload and transcribe your recordings (see our Terms).
5. Who we share data with (processors)
We use trusted third-party providers that process data on our behalf:
- Authentication — to manage sign-in and accounts (Clerk).
- AI transcription — to convert audio to text (AssemblyAI).
- Hosting & storage — to run the app and store files/transcripts.
- Payments — to process Pro subscriptions.
- Product analytics — PostHog (EU region), first-party, used without advertising cookies.
- Advertising & measurement — Google Analytics / Google Ads, only after you consent.
We may also disclose data where required by law or to protect our rights. We do not sell your personal data.
6. Cookies & tracking
We use a small number of necessary technologies to run the Service and to remember your preferences. Product analytics (PostHog) runs by default as a first-party tool without advertising cookies. Advertising and measurement cookies (Google) are only set if you accept them in our cookie banner; you can decline, and product analytics will still run. You can change your choice by clearing the relevant cookies.
7. International transfers
Some providers (e.g. our AI transcription provider and Google) may process data outside the EU/EEA, including in the United States. Where this happens, we rely on appropriate safeguards such as the EU Standard Contractual Clauses or an adequacy decision. Our product analytics provider stores data in the EU.
8. Data retention
We keep your account data and transcripts for as long as your account is active. You can delete individual transcripts or your account at any time; we then delete the associated content, subject to routine backups and any retention required by law (e.g. billing records). Analytics data is retained for a limited period.
9. Your rights
Under the GDPR you have the right to access, rectify, erase, restrict or object to processing of your personal data, to data portability, and to withdraw consent at any time (without affecting prior processing). To exercise these rights, email admin@reallyfastscribe.com. You also have the right to lodge a complaint with your supervisory authority — in Poland, the President of the Personal Data Protection Office (UODO).
10. Security
We take reasonable technical and organisational measures to protect your data. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Children
The Service is not intended for anyone under 16. We do not knowingly collect data from children under that age.
12. Changes to this policy
We may update this Privacy Policy. We will post the updated version with a new “Last updated” date and, for material changes, take reasonable steps to notify you.
